Clubs and Sports – UniSport Event | Terms and Conditions

These Terms and Conditions apply to all participants who register for, purchase tickets to, or attend a UniSport Event coordinated by the Swinburne Student Association.By purchasing a ticket, registering for the event, or participating in any related activities, you agree to comply with these Terms and Conditions.
 

1. Definitions and Agreement
 

1.1 The UniSport event program (“UniSport Event”) is operated by the Swinburne Student Association (“SSA”) on behalf of participating students from Swinburne University of Technology.
 

1.2 These Terms and Conditions apply to all participants who register for, purchase tickets to, or attend the UniSport Event coordinated by SSA Clubs and Sports.
 

1.3 By purchasing a ticket, registering for the event, or participating in any related activities, you agree to comply with these Terms and Conditions.
 

1.4 SSA reserves the right to amend these Terms and Conditions at any time where reasonably necessary, including to comply with event organiser requirements or operational needs.
 

2. Ticket Purchases and Registration
 

2.1 SSA may refuse or cancel participation where false, incomplete, or misleading information has been provided.
 

2.2 Tickets to become a UniSport Registrant are available for purchase through the official SSA transaction platform.
 

2.3 Ticket availability is strictly limited and subject to capacity restrictions imposed by accommodation providers, event organisers, and UniSport registration limits.
 

2.4 A participant’s place as a Swinburne UniSport Registrant is not confirmed until full payment has been received.
 

3. Refund and Cancellation Policy
 

3.1 Refunds are not guaranteed and will only be considered in exceptional circumstances at the sole discretion of SSA.
 

3.2 Any request for a refund must:
 

        • Be submitted in writing to studentlifefinance@swin.edu.au
        • Include supporting documentation where applicable
        • Be reviewed and approved by the Finance and Operations Manager before any refund is issued
 

3.3 As UniSport registrations, accommodation bookings, and associated event costs are committed in advance, SSA may refuse refund requests where costs have already been incurred.
 

3.4 If a participant can no longer attend the UniSport Event, the participant must source a replacement participant to take over their position.
 

3.5 The replacement participant must:
 

        • Meet all eligibility requirements
        • Complete all registration requirements
        • Sign all required documentation and waivers
        • Purchase the ticket in full before any refund is considered for the original participant
 

3.6 No refund will be processed until:
 

        • The replacement participant has completed payment in full
        • SSA has formally approved the transfer
 

3.7 SSA reserves the right to deduct any administrative, accommodation, registration, or processing costs from any approved refund.
 

4. Participant Responsibilities
 

4.1 Participants must behave respectfully and responsibly throughout the UniSport Event and comply with:
 

        • SSA policies
        • Swinburne University regulations
        • UniSport rules
        • All applicable policy and waiver forms
 

4.2 Participants must not engage in:
 

        • Harassment
        • Dangerous behaviour
        • Property damage
        • Illegal activity
        • Conduct that may negatively impact SSA, Swinburne University, or other participants
 

4.3 SSA reserves the right to remove or suspend any participant from the UniSport Event for misconduct without refund.
 

5. Health and Safety
 

5.1 Participants acknowledge that sporting and recreational activities involve inherent risks, including injury, illness, or accident.
 

5.2 Participants are responsible for ensuring they are medically fit to participate in the UniSport Event.
 

5.3 Participants must disclose any relevant medical conditions, allergies, injuries, or accessibility requirements during registration.
 

5.4 SSA may require participants to provide medical clearance before participation where reasonably necessary.
 

6. UniSport Australia Waiver Requirements
 

6.1 All participants must complete and sign any waiver, declaration, consent form, or participation agreement required by UniSport Australia prior to participation.
 

6.2 Failure to complete required UniSport Australia documentation may result in:

        • Cancellation of participation
        • Removal from the event
        • Ineligibility for refunds
 

6.3 Participants acknowledge that UniSport Australia may impose additional eligibility requirements, codes of conduct, policies, and participation criteria that must be followed at all times.
 

7. Liability and Indemnity
 

7.1 To the maximum extent permitted by law, participants acknowledge and accept all risks associated with travel, accommodation, sporting activities, and event participation.
 

7.2 SSA, Swinburne University, affiliated staff, volunteers, and representatives are not liable for:

        • Personal injury
        • Loss or theft of property
        • Travel disruptions
        • Event cancellations
        • Costs incurred due to participant withdrawal
 

7.3 Nothing in these Terms excludes rights that cannot legally be excluded under Australian Consumer Law.
 

8. Privacy
 

8.1 SSA may collect and use participant information for the purpose of:

        • Event registration
        • Accommodation arrangements
        • Emergency management
        • Communication
        • Compliance with UniSport Australia requirements
 

8.2 Participant information may be shared with relevant event organisers, accommodation providers, and UniSport Australia where necessary for participation.
